Welcome to Altruiss ("we", "us", or "our"). We operate the Altruiss mobile application (the "App"), which helps pet owners manage their pets' health, documents, reminders, and access AI-powered pet care assistance.

This Privacy Policy explains how we collect, use, store, and protect your personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Information We Collect

We collect the following types of information when you use the App:

  • Account information: Your name, email address, phone number, and password when you register.
  • Pet information: Pet names, species, breed, date of birth, weight, gender, and profile photos you provide.
  • Documents: Files you upload including vet records, vaccination certificates, and other pet-related documents (stored securely via Cloudinary).
  • Payment information: Subscription billing details processed securely by Apple (via iOS In-App Purchase). We do not store your card number — Apple handles all payment data.
  • AI chat messages: Conversations you have with the AI assistant, which are sent to OpenAI for processing.
  • Usage data: App activity, device type, and diagnostic information to improve the service.
  • Communications: Email and SMS messages sent for account verification, reminders, and support (via Resend and Twilio).

2. How We Use Your Information

We use your personal information to operate, improve, and support the Altruiss App, and to provide a secure and effective experience for both pet owners and veterinary-related use cases.

Core Functionality

We use your information to:

  • Create and manage your account
  • Store and organise your pet's information and documents
  • Facilitate requests for veterinary records
  • Enable secure sharing of records with third parties at your direction
  • Provide access to Treatment History and Clinical Documents within the App

App Features & Services

We use your information to:

  • Deliver core features such as document storage, history organisation, and reminders
  • Provide AI-powered assistance to help explain and organise information
  • Respond to support requests and user enquiries
  • Send essential communications such as verification messages, service updates, and important notifications

AI & Automated Processing

Some features of the App use AI or automated systems to process information.

This may include:

  • Analysing uploaded documents to assist with structuring information
  • Generating simplified summaries or Treatment History
  • Responding to user questions within the App

AI-generated outputs are provided for general informational purposes only and do not replace professional veterinary advice.

Product Improvement & Development

We may use your information to:

  • Improve and optimise the performance and functionality of the App
  • Identify usage patterns and improve user experience
  • Develop new features and services
  • Enhance data accuracy, structure, and usability

Where possible, we use aggregated or de-identified data for these purposes.

Research & Insights

We may use aggregated and de-identified data to:

This data will not identify individual users, pets, or clinics.

We take the protection of your personal information and veterinary records seriously and implement industry-standard measures to safeguard all data within Altruiss.

Data Security Measures

Your data is stored on secure servers hosted on Railway (PostgreSQL database), and file uploads (including veterinary records) are stored on Cloudinary's secure cloud infrastructure.

We use:

  • Encryption (TLS/HTTPS) for all data in transit
  • Secure storage practices for data at rest
  • Access controls to restrict data to authorised personnel only
  • Authentication systems to protect user accounts
  • Audit mechanisms to monitor access and usage where applicable

Clinical Record Protection

Veterinary records stored within Altruiss are treated with strict data integrity controls:

  • Records are stored exactly as received
  • Records are read-only and cannot be edited or altered
  • Records are clearly attributed to the source (e.g. veterinary clinic) where applicable
  • Altruiss does not modify, rewrite, or reinterpret clinical documents

This approach is designed to preserve the accuracy and medico-legal integrity of veterinary records.

User Account Security

You are responsible for maintaining the confidentiality of your login credentials. We recommend using a strong password and not sharing your account details with others.

Limitations

While we take reasonable steps to protect your information, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security but continuously work to maintain and improve our safeguards.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal purposes.

Under the Australian Privacy Act, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your account and personal data
  • Opt out of marketing communications

The App is not intended for children under 13 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or an in-app notice. Continued use of the App after changes means you accept the updated policy.

10. Veterinary Records and Data Integrity

Altruiss may store and display veterinary records and documents uploaded by users or provided by veterinary clinics.

We do not create, modify, or interpret veterinary medical records. All veterinary documents are stored in their original form and are presented as read-only where applicable.

Pet owners may also add their own notes and information within the App. These are clearly separated from veterinary records and are identified as user-provided content.

Altruiss is not responsible for the accuracy, completeness, or clinical interpretation of veterinary records. Users should always consult a qualified veterinarian for medical advice.

11. AI-Powered Assistance

The AI assistant provided within the App is intended for general informational purposes only.

It does not provide veterinary advice, diagnosis, or treatment recommendations. Any information provided by the AI should not be relied upon as a substitute for professional veterinary care.

Always consult a qualified veterinarian regarding your pet's health.

12. Data Sharing and User Control

You control how your pet's information is shared within the App.

When you choose to share records with third parties (such as veterinary clinics or service providers), you are responsible for granting access.

Altruiss provides secure mechanisms for sharing but does not control how third parties use or store information once it has been shared outside of the platform.

We recommend that you only share information with trusted recipients.

Where possible, Altruiss may provide indicators or safeguards to help users understand whether a recipient is a verified or recognised veterinary provider, however this does not constitute a guarantee.

13. Research and Use of Data

We may use information collected through the App to improve our services and contribute to broader insights into pet health and care.

Where possible, this use is based on aggregated and de-identified data, meaning that it does not identify you, your pet, or any veterinary clinic.

How Data May Be Used

We may use aggregated and de-identified data to:

  • Improve the functionality, accuracy, and performance of the App
  • Identify trends and patterns in pet health, treatments, and care
  • Develop new features and services
  • Contribute to research and insights aimed at improving outcomes for pets

De-Identification

Before using data for these purposes, we take reasonable steps to remove or obscure identifying information so that individuals, pets, and clinics cannot be reasonably identified.

No Sale of Personal Data

We do not sell your personal information or identifiable veterinary data.

Your Control

Where required by law, or where appropriate, we may seek consent or provide options for users to opt out of certain types of data use.

14. International Data Transfers

Some of the third-party service providers we use to operate the App are located outside of Australia. As a result, your personal information may be transferred to, stored, or processed in countries other than Australia, including but not limited to the United States.

These providers include services used for payment processing, cloud storage, email delivery, SMS messaging, and AI-powered functionality.

When your information is transferred outside of Australia, it may be subject to the laws of those jurisdictions, which may differ from Australian privacy laws.

We take reasonable steps to ensure that any overseas recipients handle your personal information in a manner that is consistent with the Australian Privacy Principles. This includes working with reputable service providers and relying on contractual obligations and industry-standard security practices to protect your data.

By using the App, you acknowledge and consent to the transfer of your personal information to these overseas service providers for the purposes described in this Privacy Policy.

If you do not wish for your information to be transferred outside of Australia, you should not use the App or should discontinue use of services that require such transfers.
